Your complete room-rental journey
Work through nine stages in order—from confirming that the room may be rented to preparing it, finding the right tenant, documenting the tenancy and managing it responsibly.
How to use this guide
Begin at step 1 and follow the journey in sequence. First confirm authority and safety, then prepare the property, furnishing and tenancy terms. Publish only when those foundations are ready; draft the agreement only after you and the applicant have confirmed the terms. Tick each action as you complete it.
This guide covers long-term residential room rental by a homeowner. It does not cover short stays, commercial use or unauthorized subletting.
This is general educational guidance, not legal or tax advice. Your ownership documents, financing terms, management rules, signed agreement and current official requirements take priority.
Confirm you are allowed to rent the room
Define the exact room, shared areas, occupants and term before advertising. Ownership alone may not remove co-owner, financing, scheme, strata, insurance or local-authority restrictions.
What to do
Documents to prepare
- Owner identification and proof of ownership.
- Co-owner authorization where applicable.
- Loan, housing-scheme and insurer conditions.
- JMB/MC by-laws, forms and access-card charges.
- Approved floor plan or renovation approval where the layout has changed.
Assemble the property record
Keep the facts needed for listing, agreement, handover and tax in one place before tenant discussions begin.
What to do
Documents to prepare
- Assessment, quit-rent and maintenance records.
- Utility and service account references.
- Appliance manuals, warranties and repair invoices.
- Management contact and emergency procedures.
Make the room safe and record its condition
Repair defects before marketing and document the starting condition so normal wear is not confused with tenant damage.
What to do
Documents to prepare
- Dated entry-condition report.
- Photos of the bedroom, bathroom and shared areas.
- Inventory with quantity and existing condition.
- Initial meter readings and key/access-card register.
Choose a furnishing level and budget
Do not begin with the labels “partial” or “full.” Make the room safe and private first, then choose a practical furnishing preset and record the exact items.
What to do
Documents to prepare
- Itemized furnishing plan and budget.
- Receipts, warranties and model details.
- Inventory photographs showing condition.
Estimate furnishing cost
Use this only after the room passes the safety and condition checks. These are planning ranges—not a legal minimum or a supplier quotation—and assume a usable kitchen and bathroom, budget-to-midrange new items and no renovation.
| Property or rental scope | Partial | Full |
|---|---|---|
| One room | RM1,200–RM3,500 | RM3,500–RM7,500 |
| Studio / 1-bedroom | RM4,000–RM8,000 | RM10,000–RM20,000 |
| 2-bedroom apartment | RM6,000–RM12,000 | RM16,000–RM32,000 |
| 3-bedroom apartment | RM8,000–RM16,000 | RM24,000–RM45,000 |
| 3-bedroom landed home | RM10,000–RM20,000 | RM28,000–RM55,000 |
| 4-bedroom-plus landed home | RM12,000–RM26,000 | RM38,000–RM75,000 |

Your room and terms are ready—create the listing
Continue only after completing steps 1–5. Instate will help you turn the verified room details, inventory, costs and house rules into a listing.

Frequently asked questions
Is there a legal minimum amount of furniture for a rented room?
There is no universal furniture-count rule. The room must be safe and accurately described; list every included item and its condition.
Must I charge a 2+1 deposit?
No. It is common market shorthand, not a mandatory formula. Record each deposit amount, purpose and refund condition separately.
Can Instate complete the LHDN stamp submission for me?
Not in this version. Instate estimates duty and prepares your checklist, then sends you to the official MyTax/STSDS process.
Should I upload an applicant’s IC or payslip?
Collect only what is necessary and protect it appropriately. Instate’s guide does not ask you to upload raw identity or income documents.
